The outbreak of coronavirus disease (COVID-19) has been declared as Health Emergency and the virus has now spread to many countries and territories. While a lot is still unknown about the virus that causes COVID-19, we do know that it is transmitted through direct contact with respiratory droplets of an infected person (generated through coughing and sneezing) Individuals can also be infected from touching surfaces contaminated with the virus and touching their face (e.g., eyes, nose, mouth). While COVID-19 continues to spread it is important that communities take action to prevent further transmission, reduce the impacts of the outbreak and support control measures.

We have seen the number of COVID-19 (coronavirus) cases increase in some of our locations. With that, we have decided to take proactive and precautionary measures to activate a mandatory work from home policy for certain locations where there are a concentrated number of cases. We believe this is the right decision as we learn more details about the virus, new testing capabilities and steps we can take to remain healthy.

Working Remotely

Working remotely is a simple action we can take, and we are incredibly fortunate that we have built an amazing technology that will help all of us stay connected and productive while staying healthy.

Effective, March 16 onwards, we are implementing a mandatory work from home policy (Office At Home 2020) across all of our offices globally. Please work with your manager to make alternative arrangements if there are business critical reasons to be onsite or if exceptions are needed.

Please review the “Office At Home 2020: Guidelines” described below.

Our Facilities: We have increased the cleaning of our facilities and implemented a deep cleaning regimen if there is any risk of exposure.

What you need to know:
  • If you experience persistent symptoms of COVID-19, including fever, cough, and shortness of breath, please contact your healthcare provider immediately and secondly notify your manager. Please also advise your manager and HR if you have been in close contact with someone with a confirmed diagnosis.
  • Persons who are ill with recent onset of lower respiratory symptoms and cough, regardless of whether fever is present, should seek medical evaluation and avoid contact with others.
  • In-person meetings and gatherings should not occur unless:
    • No attendee has fever or lower respiratory symptoms/cough.
    • The purpose of the meeting is mission critical.
    • There is no satisfactory alternative (e.g., teleconference) to meeting in person.
    • It is limited to the smallest number of person essential to the purpose; and
    • Rigorous infection control standards are enforced – hand washing, no physical contact, and social distancing within the physical space.
    • Know the latest facts - Understand basic information about coronavirus disease (COVID-19), including its symptoms, complications, how it is transmitted and how to prevent transmission. Stay informed about COVID-19 through reputable sources such as UNICEF, WHO and national health ministry advisories. Be aware of fake information/myths that may circulate by word-of-mouth or online.
Office At Home 2020: Guidelines:
  • Set up a “office from home” place to work even if it is a small corner.
  • If you live with family or friends, ask not to be disturbed when you are in your “office from home” space
  • Get up at a regular time and get dressed and ready for “office from home”.
  • Set up regular times for your “office from home” and stick with these. You should follow your regular work schedule as much as possible.
  • Check your office emails several times each day.
  • Check the internal communications and group communication every few minutes (WhatsApp, MS Teams)
  • Don’t hesitate to email/contact your team leader if you have any questions. Since your team leader has many responsibilities and staff online during Office At Home 2020.
  • Keep in contact with your colleagues. Stay in touch through emails.
  • Use your planner or a calendar/list to keep track of your assignments. You will no longer have the benefit of the team leader and colleagues reminding you regularly of upcoming deadlines.
  • Work ahead! Don’t fall behind.
  • Make sure everyone you live with understands that you are still working full time. You are expected to finish and deliver your designated responsibilities. While it may be tempting, refrain from extensive engagement on social media, video services such as Netflix, Amazon Prime Videos, YouTube, etc. during the hours you have designated for Office At Home 2020. Work is still your primary responsibility. The only change now is that you are doing it from home!

All of us at Sudrania Fund Services have been monitoring the rapidly evolving COVID-19 situation. We have made extensive arrangements to ensure that our team members are safe and also ensure uninterrupted operations.

To ensure the safety of our employees and communities, we have enacted a temporary work from home policy. Given that our business infrastructure is entirely cloud technology-based, we have been able to make the transition without disruption. All aspects of our business – from NAV production to technology upgrades - are running continuously and smoothly. We are meeting our currently deliverables without any disruption and our plans and setup has ensured no significant impact on our operations.

You can take comfort with the fact that our business infrastructure was purpose-built with a focus on technology, automation and flexibility.

We had recently developed our Pandemic Response Plan as part of our Business Continuity Plan. A copy of this plan is available to our clients upon request. Under this plan, we have activated our work from home plan (Office At Home 2020), including our communication infrastructure and team coordination tools. The alternate and work from home working is subject to our complete supervision, internal controls, and cyber-security. In addition:

  • We are utilizing communication and collaboration tools to allow for remote working and maintaining a healthy work environment
  • We have reviewed plans with all employees, tested escalation protocols and disaster recovery plans as part of an emergency drill, in order to ensure we are ready for any eventuality
  • All staff needed to support our production applications, have verified their abilities to work remotely

    • Hong Kong – 100% Office At Home 2020

We pray for a quicker recovery of the world from this pandemic. However, the timeline of this pandemic is not predictable. We are prepared for any prolonged disruption to normal operating procedures.
